This is my framework for how to automate a self storage business, rent more units, and enhance the customer experience....

Welcome Message with IVR & Phone Payment System
We'll set up a professional phone IVR to effectively route your customers and lower your response time. Customers can press 1 for unit rates and availability, 2 to make a payment using your 24 hour automated payment system, or 3 to speak to a customer service representative.
Now, if your customer calls your business number and presses 2, it will search your database based on the number they called from and allow them to easily make payment. If a customer successfully makes payment, they will get a receipt to their email and it will be documented inside your management software. And of course, if they press 1 or 3, they will be forwarded to your team 24/7/365.
Automated Phone Collector
An automated system that automatically follows up with past due customers via phone call.
For example... Past due customer will receive a phone call when they are 4 days past due, 10 days past due, 24 days past due, 39 days past due, and 60 days past due.
If your customer answers, a bot will immediately say...,

 "Friendly message from <<BUSINESS.NAME>>. To check your account balance or make a payment over the phone using our 24 hour automated payment system, press 1. To speak to a customer service representative, press 2."
If your customer misses the call and returns the call, they will immediately here the same message as shown above.
Automated Text Collector
An automated system that automatically follows up with past due customers via text message. To clarify, past due customers will receive a text message when they are 2 days past due, 5 days past due, 15 days past due, 33 days past due, 50 days past due, and 65 days past due.

Automated Review Collector
An automated system that automatically sends a text message to all new renters and asks them for their honest feedback. If they reply with good feedback it will push the review to your Google Business profile. If the customer wants to complain, the review will be forwarded to managements email instead of being posted to Google.

Tenant Rentals From A to Z
We make rentals quick and easy. We'll get contact info, payment info, and electronically sign the lease. Once we do that, we'll give your customers a gate code that will work and they can move-in anytime. In other words, we'll give your customers everything they need to do business with you on-demand.
Outbound Calls
We will process outbound calls to missed calls, after hours calls, voicemails, and to any call that gets disconnected or abandoned within the first couple of seconds. No call will be left behind!
Lead Follow-up
We'll follow-up with HOT leads or people that inquired about storage but still not a paying customer. In other words, if a customer calls in asking about storage... Well... it's ideal if we help them out and turn them into a paying customer immediately. Now, for the people that we don't turn into a paying customer immediately, we will get name, number, and apply a follow-up date. When the follow-up date arrives, we will process an outbound call to the lead and say something like..."Hello! It's Dakota with Safemax Storage. Just following up here to see if you still needed a storage unit or if I can help in any way here"?
If we call 3 times and get no answer, we will change the status to COLD.
If the lead tell us they no longer need storage or found a unit elsewhere, we will change the status to LEAD LOST.
If we turn them into a paying customer, we will change the status to LEAD WON.

Real-Time Call Documentation
We document each call we take at your self storage business and make it immediately available for your review. This allows you to know exactly what we're doing for your business in real-time.
Communication With Your Local Field Rep / Boots On The Ground
We'll communicate with your local field to ensure your self storage business is operating as efficiently as possible. If you don't have one, we can help find you someone. Once we find someone, we'll send them an email similar to the email below and they will have everything they need to start executing on tasks immediately:
"Hey Travis!

Thanks so much for your willingness to help here. 

Couple things:

1, You are the eyes and ears of Safeguard Storages at 7900 Gadsden Hwy Trussville, AL 35173. 

*It’s ideal if the "Site Visit / Lock Check" is completed by Thursday of each week. Your access code is 22944#.


3, Notice #2 in the checklist asks you to use the Storedge walk through report to complete the lock audit. You will get this report by logging into Storedge here: https://www.storedgefms.com/users/sign_in (I recommend saving this link to your home screen or as a bookmark on your phone).

Once logged in, click REPORTS, then OCCUPANCY, then WALK THROUGH, then click GENERATE REPORT. There, you will have the walk thru report, and can execute on task #2. Task #2 is the most important and will get most of your time. In other words, you need to go unit by unit by unit and ensure everything matches up with the Walk Thru report. If it doesn't, you need to take action and/or communicate with us via the monday app.

Again, task #2 is very important as it's the ONLY way the software will be accurate for the website and for the call center.

4, We manage “important tasks” and “work activity” inside monday.com. I just added you and triggered a welcome email to be sent to your email. Please accept the invitation and create an account.

Once logged in, you’ll see the Task List group at the top. Every Monday at 5a, monday.com is going to automatically create the tasks for the week. It is your responsibility to execute on the tasks in full and communicate updates back to us. 

In conclusion, it is your responsibility to complete the checklist, communicate updates, and change the status to DONE.

And yeah, if we can knock out the items above, we'll be moving here!

Now, for the people that we don't turn into a paying customer immediately, we will get name, number, add them to the "Leads" group of your monday board and set a follow-up date. When the follow-up date arrives, we will process an outbound call to the lead and say something like..."Hello! It's Dakota with Safemax Storage. Just following up here to see if you still needed a storage unit or if I can help in any way here"?

If we call 3 times and get no answer, we will change the status to COLD.

If the lead tell us they no longer need storage or found a unit elsewhere, we will change the status to LEAD LOST.
And of coarse, if we turn them into a paying customer, we will change the status to LEAD WON.

Auction Payments
We'll take payment from auction winners and grant access. We just ask that you notify the team after you add auction items to the monday board so we can get ahead of the game by processing an outbound call to the auction buyer. The typical auction payment process is below:

Automated Storage will process an outbound call to the auction buyer.
We will collect two separate payments from the buyer. The first will be the amount they purchased the unit for. The second will be a $100 Cleaning Deposit (per unit).
We will collect these payments in the delinquent customer’s account.
Once payment has been made, we will relay all the necessary information (address, unit #, gate code and combo code) to the customer for them to access the unit and clean it out in full. 
The buyer has 72 hours to reply with a picture of the unit 100% empty (this is the only way the auction buyer can get their $100 security deposit back).

Text Message Management 
We will manage your text messages inside of Storedge. In other words, we will be responsible for replying to your customers in a timely manner.

Email Auto Responses
It is required to have a unique email for each location. The unique email must be integrated with your management software so you can send lease agreements, receipts and any other important information. If a customer replies, they should get an automatic response telling them to call <<LOCATIONS.BUSINESS.NUMBER>> for immediate assistance. 

For Sparefoot leads and other leads that come thru email, we will setup additional automations and notifications so the entire team is notified and can follow up by phone in minutes. Preferably seconds.

Lien Auctions From A to Z 
Our team will process auctions so you can replace delinquent customers with paying customers. Our team will send lien letters by mail, email, assign task to field rep requesting he/she cut the lock and reply with a 30 second video, host the auction, handle payment, and communicate with auctions buyers.
